EverOpen answers phone calls and website chats for small businesses and passes the details to the business owner. This page explains what information that involves, why we have it, and who we share it with.
Who this covers
- Our customers: the businesses that sign up for EverOpen and the people who use their accounts.
- Callers and chat visitors: people who contact one of those businesses and are answered by EverOpen on the business’s behalf. For this information, the business is in charge of how it is used, and we process it for them.
What we collect
- Account details: business name, your name, email address, phone number, timezone.
- Business setup: services, prices, hours, service area and other information you give us so the assistant can answer accurately.
- Calls and chats: the caller’s phone number, call recordings, transcripts, and the details callers give (such as name, address and the problem they need fixed).
- Basic usage and technical logs needed to run and secure the service.
How we use it
- To answer calls and chats for the business and send the job details to its owner.
- To book appointments into the business’s calendar when it has asked us to.
- To show transcripts and call history in the business’s dashboard.
- To provide support, keep the service secure, and fix problems.
We do not sell personal information, and we do not use callers’ details to market to them.
Service providers
We use a small number of providers to run EverOpen: telephony and voice processing, AI language models that generate the assistant’s replies, email delivery, and server hosting. They receive only what they need to perform that service for us.
Call recording
Calls answered by EverOpen are recorded and transcribed so the business receives an accurate record. The assistant tells callers this at the start of each call. Businesses are responsible for any additional notice their local laws require.
How long we keep it
We keep account and call data while the business’s account is active. When a business closes its account, we delete its data within 90 days unless we must keep something longer by law. A business can ask us to delete specific recordings or transcripts sooner.
Your choices
You can ask to see, correct or delete information about you. If you called or chatted with a business that uses EverOpen, contact that business, or email us and we will pass the request on.
